Terms of Service

These terms apply to studio owners and operators who subscribe to Zen Studios software. They explain what you receive, what you are responsible for, and what happens when you sign up, use, or cancel the service.

Agreement summary

By requesting onboarding, creating a studio account, or paying for a Zen Studios subscription, you agree to these Terms of Service on behalf of your studio or business. If you do not agree, do not use the platform.

Who these terms apply to

These terms are between Zen Studios and the studio, business, or individual operator (“you”, “your studio”) that subscribes to our software. They do not replace the terms your studio publishes for its own members. You remain responsible for the relationship between your studio and your clients, including class policies, waivers, refunds, and health requirements.

What Zen Studios provides

Zen Studios provides studio management software, including a staff admin panel, member portal, branded public website on your domain, hosting, and related features described on our website at the time of signup. Specific features may evolve over time as we improve the product. We will use reasonable efforts to notify you of material changes that affect how you operate day to day.

Subscription and fees

The current subscription fee is RM 300 per month per studio unless otherwise agreed in writing. Fees are billed in advance on a recurring monthly basis. You are responsible for keeping your payment method current. Failure to pay may result in suspension of access until the account is brought current. Fees do not include third-party charges such as Stripe processing fees, domain registration, or SMS costs where applicable.

Your responsibilities as a studio operator

You are responsible for the accuracy of your studio information, class schedules, pricing, staff access, and member communications. You must ensure your use of the platform complies with applicable laws in Malaysia and any other jurisdiction where you operate. You must obtain appropriate consents from your members for data collection, marketing, photography, and waivers. You must not use the platform for unlawful, misleading, or abusive purposes.

Your member data

You own the member and business data you upload or generate through your studio account, including member profiles, bookings, and transaction records. You grant Zen Studios a limited licence to host, process, back up, and display that data solely to provide and improve the service. You are responsible for responding to member requests about their data unless we are legally required to act directly. Our Privacy Policy explains how we handle personal data.

Third-party integrations

Zen Studios may connect with third-party services such as Stripe, Zoom, and Google Calendar. Your use of those services is also governed by their own terms and privacy policies. You are responsible for maintaining your own accounts with those providers, keeping credentials secure, and ensuring your studio is authorised to use them. Zen Studios is not liable for outages, policy changes, or fees imposed by third-party providers.

Payments processed through Stripe

When you connect Stripe, payments from your members are processed by Stripe and paid out according to your Stripe account settings. Zen Studios does not hold your members’ funds. You are responsible for Stripe onboarding, compliance, refunds, disputes, and tax obligations related to your studio sales. Suspension or termination of your Stripe account may limit checkout and POS functionality.

Availability and support

We aim to keep the platform available and secure, but uninterrupted access is not guaranteed. Maintenance, updates, third-party outages, or events outside our control may cause temporary downtime. We provide onboarding assistance and reasonable support for operational questions related to the software. Urgent production issues will be handled as promptly as practicable.

Intellectual property

Zen Studios retains all rights in the software, codebase, and platform branding. You retain rights in your studio name, logo, marketing copy, and other materials you supply. You may not copy, reverse engineer, resell, or sublicense the platform except as expressly permitted. Your branded site may display your studio identity; Zen Studios branding on the marketing site does not grant you rights to our trademarks beyond normal use of the service.

Suspension, cancellation, and termination

You may cancel your subscription by contacting us in accordance with the notice period stated in your onboarding agreement or invoice. We may suspend or terminate access if fees are unpaid, if you materially breach these terms, or if continued service poses security, legal, or abuse risks. Upon termination, your access to the admin panel and member portal will end. We will provide a reasonable period to export essential business data where practicable. Public website availability and domain configuration may cease after termination unless otherwise agreed.

Limitation of liability

To the fullest extent permitted by law, Zen Studios is not liable for indirect, incidental, special, or consequential losses, including lost profits, lost bookings, or loss of member goodwill. Our total liability arising from the service in any twelve-month period is limited to the subscription fees you paid to Zen Studios in that period. Nothing in these terms limits liability that cannot be excluded under applicable law.

Changes to these terms and contact

We may update these terms from time to time. If changes are material, we will make reasonable efforts to notify the studio contact on file before they take effect. Continued use of the platform after the effective date constitutes acceptance of the updated terms. Questions about these terms can be sent to hello@zenstudios.my.
